Publix Passport › 2-step verification
Publix Passport 2-Step Verification
Set up Microsoft Authenticator, text or call codes for your Publix sign-in, move it to a new phone, and fix prompts that never arrive.
The short answer
Publix accounts use Microsoft sign-in, so Passport asks for a second step when you sign in from your own phone or computer. You can approve it in the Microsoft Authenticator app, which Publix recommends, or get a code by text or phone call.
Set it up once on a store computer before you need it from home.
Pick your method
| Method | Best for | Watch out for |
|---|---|---|
| Microsoft Authenticator (push) | Most associates. Fast, and Publix’s recommended method | Needs a smartphone with notifications on |
| Authenticator one-time code | No signal or Wi-Fi at the moment | The 6-digit code changes every 30 seconds |
| Text message code | Phones without the app | Needs mobile signal. Codes can arrive late |
| Phone call | Basic phones and landlines | Needs to be near that phone every time |
Add 2 methods if your account allows it. If one fails, the other gets you in.
Set up Microsoft Authenticator
On your phone
- Install Microsoft Authenticator from the App Store or Google Play. Check that the publisher is Microsoft.
- Open it, accept the privacy notice, and allow notifications and camera access.
- Stay on the “Add your first account” screen.
On a Publix workstation or your own computer
- Go to Microsoft’s Security info page for Publix accounts and sign in with your Publix email and password.
- Select Add method, choose Microsoft Authenticator, then Add.
- Click Next until a QR code appears.
- Scan the QR code with the app and accept the notification on your phone.
- Click Next, approve the test sign-in, then enter your country code and phone number and click Done.
- Review your settings and close the window. Publix’s instructions say not to click Restore.
These steps follow Publix’s own first-time setup instructions. If the QR scan fails, choose Set up again and scan once more.
Set up a text or call instead
- Open the Security info page and sign in with your Publix email and password.
- Select Add method and choose Phone.
- Enter your country code and mobile number.
- Choose Text me a code or Call me.
- Enter the code you receive, or answer the call and follow the prompt.
Publix has its own page for this: First-time setup using text message or voice call.
What signing in looks like after setup
- Enter your Publix user ID or email, then your password, on publix.org.
- The screen shows a 2-digit number.
- Your phone shows an Authenticator notification. Type that same number into the app and tap Yes.
- You’re in Passport.
Never approve a request when you aren’t signing in. Tap No or Deny, change your password, and tell your manager.
From the manager’s desk
They hit the 2-step prompt from home for the first time with no Authenticator app set up. My advice was always the same: set up 2-step verification on your first day, on a store computer, before you need it at 9 p.m. on a Sunday.
Optional: passwordless sign-in
Publix’s instructions also cover phone sign-in without typing your password each time.
- Open Microsoft Authenticator and select your Publix account.
- Select Enable phone sign-in and follow the prompts.
- On the Passport sign-in page, select Other ways to sign in.
- Choose Approve a request on my Microsoft Authenticator app.
Publix says the change can take up to 5 minutes to show.
New phone or new number
You still have the old phone
- Install Microsoft Authenticator on the new phone.
- On a computer, open Security info and add Microsoft Authenticator again for the new phone.
- Approve the test on the new phone. Sign in to Passport once to confirm it works.
- Remove the old phone from Security info. Then wipe or trade it in.
Same phone, new number
Open Security info, edit the phone method and enter the new number, then confirm with the code sent to it.
Old phone lost, stolen or already wiped
You can’t approve sign-ins without a working method. Support has to reset your methods. Start with your store manager, who can reach the right team.
Publix also has a page for this: 2-step verification: new phone number or device.
2-step problems and fixes
| Problem | Likely cause | Try this |
|---|---|---|
| No notification | Notifications off, or the app is asleep | Open Authenticator yourself. The request shows inside the app |
| Code rejected | Phone clock is wrong, or the code expired | Set date and time to automatic. Use a fresh code |
| No text arrives | Weak signal or wrong number on file | Move to better signal, or choose a call or the app |
| App shows no Publix account | App reinstalled or phone restored | Add the account again from Security info, or ask support |
| Prompt you didn’t start | Someone else has your password | Deny it, change your password on publix.org, tell your manager |
Other login errors (username, password, lockouts) are covered in Passport login fixes.
Questions associates ask
Do I need 2-step verification at work?
Expect it when you sign in from your own phone or computer. A Publix store computer may not ask for it.
Is Microsoft Authenticator free?
Yes. Install it from the App Store or Google Play and check the publisher is Microsoft.
Can I use Authenticator without internet?
Yes for codes. Open the app and use the 6-digit one-time code, which works without signal.
What if I don’t have a smartphone?
Set up a text message or phone call method instead.
I got a new phone. Will Authenticator move over by itself?
Don’t count on it. Add the new phone in Security info before you wipe the old one.
